Payments & Billing Policy
How Harmonia handles client payments, worker payouts, project cancellations, and billing for our B2B AI workforce platform.

1. Introduction
Welcome to Harmonia ("Harmonia," "we," "us," or "our"). Harmonia operates as a Business-to-Business (B2B) AI workforce platform connecting businesses and enterprises (Clients) with independent contributors (Workers). This Payments & Billing Policy outlines the financial terms, conditions, and procedures governing all transactions on our Platform.
By creating an account and using the Harmonia Platform, you agree to the terms outlined in this policy. This document is designed to ensure transparency and fairness for both Clients funding AI data annotation projects and Workers completing digital tasks.
2. Scope of this Policy
This policy applies to all financial transactions conducted through the Harmonia Platform. This includes, but is not limited to:
- Client funding of AI annotation projects, Micro-Tasks, and surveys.
- Worker payouts for completed and approved digital tasks.
- Platform fees and service charges.
- Cancellations, refunds, and chargeback proceedings.
- Tax responsibilities for both Clients and Workers.
This policy works in conjunction with our Terms of Service and Privacy Policy.
3. Client Payments
Clients using Harmonia to source AI training data must fund their projects before work begins. This ensures our global workforce is compensated for their efforts.
Payment Methods
Clients can fund projects using approved payment methods, which may include credit/debit cards, bank transfers, or cryptocurrency, depending on the region and specific arrangement with Harmonia. All payment methods must be verified by our team.
When Payment is Required
Projects must be fully funded before they are broadcasted to the worker pool. For large-scale annotation projects, milestone-based payments may be arranged. Once a payment is submitted, it moves to "Under Review" until verified by our administrative team.
Currency
All transactions on the Harmonia Platform are processed in United States Dollars (USD). If a Client is paying in a different currency, the exchange rate and any conversion fees applied by the Client's bank or payment processor are the responsibility of the Client.
Taxes
Clients are responsible for paying any applicable sales tax, Value Added Tax (VAT), or transaction taxes associated with their use of the Platform. Harmonia's quoted prices do not include local taxes unless explicitly stated.
4. Worker Payouts
Workers on Harmonia participate as independent contractors and are compensated for accurately completed and approved tasks.
Minimum Payout
Workers must reach a minimum account balance (as specified in their dashboard) before they can request a withdrawal. This threshold helps mitigate high transaction fees associated with micro-payments.
Payment Schedule
Payouts are processed manually by our administrative team to ensure fraud screening and fund availability. Processing times typically take 24 to 72 hours from the time of the withdrawal request.
Supported Payout Methods
Harmonia currently facilitates payouts via:
- PayPal: Transfers to verified PayPal email addresses.
- Cryptocurrency (USDT): Transfers in Tether (USDT) on the ERC-20 network. Workers are responsible for any blockchain gas fees.
Verification Requirements
To prevent fraud and ensure funds reach the correct individual, Workers must verify their payout method via a One-Time Password (OTP) sent to their Harmonia registered email address before requesting a withdrawal.
5. Project Cancellations
We understand that project scopes can change. The following cancellation rules apply based on the status of the project.
Client Cancellation
If an order is still marked "Awaiting Payment," it can be cancelled at any time, free of charge. Once payment is submitted and the project moves into production (statuses such as "Paid," "Assigned," or "In Progress"), it is generally considered final, as Workers have already begun allocating time. If a Client wishes to cancel at this stage, refunds are evaluated on a case-by-case basis depending on the volume of work already completed.
Worker Cancellation
If a Worker chooses to abandon a task before completion, no payout is issued for the incomplete work. The task is simply returned to the pool for another Worker to claim. Repeated task abandonment may negatively impact the Worker's quality score.
Platform Cancellation
Harmonia reserves the right to cancel a project if it violates our Terms of Service, contains illegal content, or if fraudulent payment is suspected. In cases of Client fraud, the project is terminated immediately.
6. Disputed Payments
Disputes may arise regarding task quality or payout status. We have systems in place to handle these fairly.
Client Disputes
If a Client believes the submitted data does not meet the agreed-upon quality standards, they may dispute the work within 7 days of delivery. Our administrative team will review the submission, the project guidelines, and the worker's quality logs to make a final determination.
Worker Disputes
If a Worker believes a task was unfairly rejected or payouts were delayed without cause, they may open a support ticket. Harmonia will review the task logs and communication history to resolve the issue.
Investigation Process
During a dispute, funds may be held in escrow pending a final decision. Decisions made by Harmonia administrators regarding disputes are final and binding.
7. Failed Payments
Occasionally, payments or payouts may fail due to technical or user errors.
Declined Payments (Clients)
If a Client's payment method is declined, the project will remain in "Awaiting Payment" status. The Client must update their payment method and try again. Harmonia is not responsible for bank holds or declined transactions.
Charge Failures (Workers)
If a Worker requests a payout and the transaction fails (e.g., PayPal account restricted, crypto wallet unable to receive ERC-20), the funds will be returned to the Worker's Harmonia account balance.
Incorrect Payment Details
It is the user's responsibility to ensure their PayPal email or Crypto wallet address is correct. Harmonia is not liable for funds sent to an incorrect wallet address due to user error, as blockchain transactions are irreversible.
8. Chargebacks
Harmonia takes a strict stance against fraudulent chargebacks to protect our global workforce.
Fraudulent Chargebacks
A fraudulent chargeback occurs when a Client requests a chargeback from their bank or credit card company after work has been completed and delivered, without first attempting to resolve the issue with Harmonia support.
Investigation
If a chargeback is initiated, the Client's account will be immediately suspended. We will gather all evidence, including project guidelines, submitted work, and communication logs, to dispute the chargeback with the bank.
Possible Account Suspension
Clients found guilty of fraudulent chargebacks will be permanently banned from the Harmonia Platform, and any remaining funds in their account may be seized to compensate the Workers who completed the tasks.
9. Taxes
Tax responsibilities vary depending on your role and jurisdiction.
Client Responsibilities
Clients are responsible for paying any applicable sales tax, VAT, or transaction taxes associated with their use of the Platform. Harmonia's service fees do not include local taxes unless explicitly required by law.
Contributor Responsibilities
Workers are classified as Independent Contractors. Harmonia does not withhold income tax, social security, or any other local taxes from Worker payouts. Workers are solely responsible for reporting their earnings and paying any applicable self-employment or income taxes in their respective jurisdictions.
10. Currency Conversion
The primary currency of the Harmonia Platform is the United States Dollar (USD).
For Workers receiving payouts via Cryptocurrency (USDT), the crypto amount is calculated based on the USD value at the time of payout processing. Harmonia is not responsible for fluctuations in the value of cryptocurrency between the time of task completion and the time the Worker converts the funds to fiat.
If a Worker or Client uses a bank account in a different currency, their bank will handle the currency conversion, and associated exchange rates and fees will apply.
11. Refunds (if applicable)
Refunds are not automatic and are evaluated on a case-by-case basis.
- Refunds are evaluated based on how much work has been completed and the specific circumstances of the cancellation.
- Some completed services (where Workers have already been paid for accurate submissions) may not be refundable.
- Fraudulent payments or accounts terminated for violating our Terms of Service are not eligible for refunds.
- Platform fees and administrative costs may be non-refundable where permitted by law.
If a refund is approved, it will be returned using the original payment method where possible. Processing times depend on the payment provider.
12. Platform Fees
Harmonia generates revenue by charging Clients a markup or service fee on top of the base payout rate for tasks. This fee covers platform maintenance, quality assurance, administrative overhead, and server infrastructure.
Workers are never charged signup fees or subscription fees to use the platform. Workers only pay the standard blockchain gas fees if they choose to withdraw via Cryptocurrency.
13. Changes to this Policy
Harmonia reserves the right to update or modify this Payments & Billing Policy at any time to reflect changes in our business practices, legal obligations, or payment processor rules. We will update the "Last Updated" date at the top of this page. Continued use of the Platform after changes take effect constitutes acceptance of the revised policy.
